Terms & Conditions for an Exhibition in 2027
1. Agreement Overview These Terms and Conditions govern the hire of the Old Grocery Art Space (“the Gallery”) for main art exhibitions (“the Exhibition”). By submitting an application, the Exhibitor agrees to these terms.
2. Fee Structure
- Small Exhibitions (1–3 Artists): £60 per day.
- Minimum Booking: 7 days (£420 total).
- Large Exhibitions (4+ Artists): £75 per day.
- Minimum Booking: 7 days (£525 total).
- Extended Duration: Days booked beyond the minimum 7-day period are charged at £55 per day, subject to prior agreement at the time of booking.
3. Application Process
- Mandatory Consultation: Before submitting a formal application, all prospective Exhibitors must discuss their work and exhibition concept directly with Jonathan Hawkins.
4. Financial Terms & Payment Schedule
- Holding Deposit: A refundable holding/damage deposit of £150 is required to secure the exhibition date.
- Payment: Due immediately upon receipt of the invoice issued after application approval.
- Refund: The deposit will be refunded in full provided the space is vacated in its original condition and all gallery equipment remains intact and undamaged.
- Hire Fee: The total hire fee (minus the deposit if already paid) is payable one month prior to the exhibition start date.
- Commission-Based Arrangements: Artists interested in a commission-based hire model (in lieu of standard fees) must contact Jonathan Hawkins directly to discuss specific terms.
5. Use of Space and Operating Hours
- Standard Hours: The Gallery operates daily from 10:00 am to 5:00 pm. The Exhibitor is solely responsible for supervising the Exhibition and their artwork during these hours.
- Access & Setup Times:
- Exhibitors may arrive from 10:00 am for setup and must vacate the premises by 5:00 pm (including takedown).
- Strict Closure: The Gallery is strictly unavailable before 8:00 am under any circumstances.
- Extended Access Fees: Access required between 8:00 am – 10:00 am or 5:00 pm onwards incurs an additional fee of £10 per hour.
- Alterations: No redesign, structural alteration, or modification of the gallery space is permitted.
- Wall Condition: All walls must remain brilliant white throughout the duration of the hire.
- Hanging Cords (Perlons): The nylon perlon hanging cords must never be cut under any circumstances. If a cord is too long, the excess length must be neatly taped behind the artwork. Please be advised that a fee of £3.50 per cord will be charged for any cut perlons found upon inspection.
6. Insurance and Liability
- Exhibitor Responsibilities: The Exhibitor is responsible for the transportation, installation, care, and deinstallation of their artwork. The Exhibitor must hold adequate insurance covering their works during transit and while on display.
- Gallery Coverage: Old Grocery Art Space holds public liability insurance for the premises only. This does not extend to the Exhibitor’s artwork, personal property, or any risks associated with the displayed works. The Exhibitor retains full liability for their art and any related incidents.
7. Marketing and Intellectual Property
- Exhibitor Rights: Exhibitors retain all intellectual property rights to their work.
- Gallery Branding: Exhibitors are permitted to use the “Old Grocery Art Space” name and existing promotional materials solely for marketing their specific Exhibition.
- Exhibitor Materials: Exhibitors are responsible for producing and distributing their own promotional materials (e.g., invitations, flyers, business cards). The Gallery permits the distribution of these materials on-site but accepts no responsibility for their content or production.
8. Cancellations and Force Majeure
- Gallery Cancellation: If the Gallery cancels the Exhibition, this agreement becomes null and void, and all fees paid (including the holding deposit) will be refunded in full.
- Force Majeure: In the event of unforeseen circumstances preventing the Exhibition (e.g., natural disasters, strikes, epidemics), the event will be rescheduled to a mutually agreed date.
- Exhibitor Cancellation:
- If the Exhibitor cancels the Exhibition, the holding deposit (£150) will be forfeited.
- Exception: The deposit will be retained as a credit rather than forfeited if the Exhibitor books an alternative suitable exhibition slot within 12 months of the original booking date.

Terms and Conditions: Pop-Up Hire at Old Grocery Art Space
1. Agreement Overview These Terms and Conditions govern the hire of the Old Grocery Art Space (“the Gallery”) for temporary pop-up events (“the Pop-Up”). By submitting an application, the Vendor agrees to these terms.
2. Availability and Booking Restrictions
- Schedule Dependency: Pop-Ups are only permitted during viable gaps in the main art exhibition schedule. All bookings are subject to final confirmation by the Gallery.
- Duration & Seasonal Limits:
- January 1 – April 30 & August: Pop-Ups of up to 4 days may be booked.
- All Other Months: Pop-Ups are limited to a maximum of 2 days.
- Booking Window: Applications for 2-day Pop-Ups (in restricted months) are only accepted during the month immediately preceding the desired date.
3. Fees and Payment
- Hire Rate: £65 per day.
- Payment Terms: The total hire fee is due immediately upon receipt of the invoice, which is issued following application approval. Booking is not confirmed until payment is received.
- Additional Costs:
- Extended Hours: The standard operating hours are 10:00 am – 5:00 pm. Vendors may arrive from 9:00 am and must vacate by 6:00 pm.
- Access between 8:00 am – 9:00 am or 6:00 pm onwards incurs a fee of £10 per hour.
- Note: The Gallery is strictly unavailable before 8:00 am under any circumstances.
- Pre-Event Setup: If extensive setup is required, Vendors may book the afternoon preceding the event for a flat fee of £25.
- Evening Events: An additional charge of £50 applies if an evening event is included as part of the Pop-Up.
- Extended Hours: The standard operating hours are 10:00 am – 5:00 pm. Vendors may arrive from 9:00 am and must vacate by 6:00 pm.
4. Application Process
